Welcome to Sea Change Mediation’s privacy notice.  Sea Change Mediation respects your privacy and is committed to protecting your personal data.  This privacy notice will inform you as to how we look after your personal data which you provide to us when you enter into a contract with us to purchase mediation services.
 
Whenever you give us personal data, you are consenting to its collection and use in accordance with this privacy notice, including our use of cookies. If you give us personal data on behalf of someone else, you are confirming that you have given them the information in this privacy notice and that they have agreed for us to use their personal data in the way we describe in this privacy notice.

The Type of Data we Collect
We collect and process the following information which is required for us to provide mediation services this includes full names, addresses, email addresses, phone numbers and dates of birth for you and your immediate family.

We may use cookies to monitor how people use our website. This helps us to understand how our clients and potential clients use our website so we can improve things like layout, function and design.   
A cookie is a piece of information stored on your computer’s hard drive that records how you have used a website. The next time you visit that website, it can tailor your options based on the information it has stored about your last visit.
 
You can set your browser to refuse all or some browser cookies, or to alert you when websites set or access cookies. If you disable or refuse cookies, please note that some parts of our website may become inaccessible or not function properly.

How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you through your booking and attendance at an assessment meeting or mediation session.  We may hold your contact details when approached by someone wanting to explore mediation as a way forward so that we can invite you to an assessment meeting/mediation.  The basis on which we hold your information is either by consent, contractual or to provide you with access to mediation information as introduced by section 10 of the Children and Families Act 2014.  We use the information that you have given us in order to provide you with mediation and information services. 
Your information is not shared with third parties unless:
  1. you wish us to make a referral to another professional service such as a solicitor or financial advisor;
  2. you make a complaint and your matter is referred to the mediator’s supervisor/Professional Practice Consultant and the Family Mediation Standards Board;
  3. the mediator as part of their professional supervision seeks advice from their Professional Practice Consultant;
  4. the mediator believes you are receiving the proceeds of crime and/or
  5. the mediator is concerned that a person or child is at risk of harm.
 
The Open Statement of Financial Information can be disclosed to the Court and legal advisors.  You can also by agreement share the Open Summary Statement. 

Your data will never be sold to third parties.

How we store your personal information
We hold information on our accounts system and our cloud system in emails and case files. Your information is securely stored using Microsoft 365.  We keep our accounts and case files for two years from the conclusion of your matter.  Once this time period has elapsed we will then dispose of your information by deleting your file from the accounts system and Microsoft 365.  We operate a paperless office but should any documents be printed these will be shredded.

Your data protection rights
Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.  Please email a request for your personal data to: hello@seachangemediation.co.uk
